Code Red Logistics, LLC, a Minnesota limited liability company d/b/a Room Surge (“RoomSurge”) is a business‑to‑business company that assists our current and prospective customers (individually a “Customer” and collectively “Customers”) in identifying temporary lodging facilities. Our Customers are not individuals, but rather businesses.  A typical Customer is a power company (or other public utility) that has an urgent need to find housing for its crews to respond to a natural (or other disaster) that causes damage to the power grid.

RoomSurge’s management team has years of experience in this area, which historically involved “working the phones” to find rooms in areas where there is a surge in demand for lodging, as such events typically result in professionals from many industries rapidly converging on the site of the disaster and working to get things back to normal.  RoomSurge has built, maintains, and regularly updates a proprietary database of lodging providers, including contact information (which may include professional and personal email addresses, lodging provider distribution lists, and the cell phones and other similar “24/7” type contact methods of current key employees/agents of both Lodging Providers and Customers).  This information permits RoomSurge to gather current room availability and rates from lodging providers across the country (“Lodging Providers”) and share it with Customers in a quick, efficient, and comprehensive manner that benefits both our Customers and the Lodging Providers.

At RoomSurge, we are committed to protecting the privacy of our Customers and participating Lodging Providers, which includes the privacy of the contact information of individual employees and agents of each  who interact with RoomSurge on behalf of, as applicable, our Customers and participating Lodging Providers. This Policy applies to our collection and use of personal data in connection with access to our RoomSurge platform and to our provision of customer support and other services, as well as our related marketing efforts to, among other things, expand and improve our roster of Lodging Providers and associated 24x7 contact information (collectively, the “Services”).  

Personal Information We Collect

 

If you are: (a) an employee or agent of: (i) a Customer (or potential Customer), or (ii) a Lodging Provider; or (b) if you visit our website, or; (c) if you interact with us at industry conferences (live or virtual), we may collect – and strive to keep current – some personal information about you.  The principal reason for this is to be able to contact you when a “room surge event” requires lodging for your employees, or (if you are a Lodging Provider) requires us to contact you during a “room surge” event to determine how many rooms you have available to house employees/contractors of one of our Customers.

This information is requested in several ways.  For example, we obtain it when you are asked to register for a RoomSurge ID, subscribe to e-mail newsletters, complete an online form, download resource information, or when you are requesting information about or purchasing our Services.

We may also collect data about you from third parties. As is typical for businesses that market their products to other organizations, sometimes we obtain your work contact information from third party data suppliers or joint marketing partners to contact you with communications containing promotions, Customer stories, RoomSurge news and updates or thought leadership. We may also get your information from publicly available sources and social networking sites, like LinkedIn or your organization’s website. In the last 12 months, RoomSurge has collected data in the following categories:

  • Identifiers: Name, postal address, email, IP address, work phone, personal or work issued cell phone, other contact information

  • Commercial or transaction information: A Lodging Provider’s Number of Rooms, Room Type(s), Rates, Parking, etc.

  • Internet/Solutions activity: Your interaction with our website(s) or Solutions

  • Professional information: Your role at your organization

Use of your Personal Information

 

In addition to the purposes described when we collect data from you, we may use your personal information in the following ways:

  • Log In: Using your RoomSurge ID, we allow a Customer’s administrative contact to sign into the secure portion of our website to update contact or other data about a Customer. We may also use your data to notify you of important news and alerts about our Services including any new service offerings. 

  • Information Requests: We send you information you request about the RoomSurge Services.

  • Marketing Communications: We may contact you about promotions, Customer stories, RoomSurge news and updates, or thought leadership content. We may send these communications via email or postal mail, call your organization, or serve you advertisements on our website and others. If you would no longer like to receive such emails, please follow the “Unsubscribe” instructions at the end of each email. Your e-mail address will be removed from our marketing list. Please allow us a reasonable period of time in order to satisfy your request, as some promotions may already be in process.   • Customers: If you’re an employee or agent of a RoomSurge Customer, we may use your personal data to provide Services you request and in connection with payments.

  • Improving RoomSurge: We use aggregated and personal data about you and your use of our websites and the RoomSurge Services to develop, improve, and test them. 

  • Compliance and Safety: We may use your personal data to comply with our legal obligations and to identify and remediate suspected or actual fraudulent activity or security incidents.

 

Sharing Your Personal Information

 

RoomSurge may share your personal information as necessary to provide the Services or as you specifically request. For example, when we find a “lodging match,” we may disclose contact and other relevant data about a Customer requiring lodging to one (or more) Lodging Provider(s), and information about a Lodging Provider to one (or more) Customer(s).  We may also share this contact information to our current (or future) affiliated organizations and subsidiaries, and to other service providers who may now or in the future render services to us or you on our behalf. We also may disclose your information if required by law or to enforce our legal rights or defend us against a legal claim or for the identification or remediation of suspected or actual fraudulent activity or security incidents. We may share your information in connection with a sale or reorganization of RoomSurge. Finally, we may also share your personal data if it is necessary to act in urgent circumstances to protect the safety of RoomSurge Customers, website visitors, or the public.

Access to your Personal Information

 

If you are an individual employee or agent of a Customer, your administrative contact may review and update your personal individual information at any time on www.roomsurge.com. You can also update/edit personal information you have already given us.  If you are no longer an employee or agent of either, and let us know, we will remove your personal information from our database. 

 

Information Collected from Children

 

RoomSurge’s websites are meant for business to business communications and assumes the employees/agents of such are of legal age to work.  We require an individual employee/agent to affirm s/he is over 18 at the time s/he signs up, and we do not knowingly collect information about children or sell products to individuals, including to children under the age of 13. 

 

Security of your Personal Information

 

We restrict access to personal information collected about you at our website to our employees, our affiliates’ employees, those who are otherwise specified in this Policy or others who need to know that information to provide the Services to a Customer or communicate with a Lodging Provider in the course of conducting our business operations or activities. While no website can guarantee 100% complete security, we maintain what we believe to be appropriate physical, electronic and procedural safeguards to protect your personal information collected via the website, and expect to continue to deploy future enhancements of the same, whether on our website or via any other means of permitting access to the Room Surge platform, including but not limited to mobile apps, etc.. We protect our databases with various physical, technical, and procedural measures, which by nature are constantly evolving.  We restrict access to your information by unauthorized persons. We also advise all RoomSurge employees and contractors about their responsibility to protect Customer data and individual data. Inside RoomSurge, data is stored in password-controlled servers with limited access.

We cannot be responsible for the privacy practices of any websites not under our control and we do not endorse any of these websites, the services or products described or offered on such sites or any of the content contained on those sites.

As of the date of this privacy policy, RoomSurge limits its business to Customers and Lodging Partners within the Unites States.  When RoomSurge collects personal data of individuals who are located in the European Union, United Kingdom, or Switzerland at the time they interact with us, we will transfer the data they supply to our servers in the United States.
